
If you’ve been given a new business email address, this guide walks you through connecting it to Outlook — whichever version you’re using. The steps differ slightly between the new Outlook for Windows, classic Outlook (2016–365), Outlook for Mac, and the mobile app, so jump to the section that matches your setup.
Your Email Settings
Before you start, have these details ready:

IMAP or POP3? Choose IMAP if you check email from more than one device (phone, laptop, tablet) — it keeps everything in sync since mail stays on the server. Choose POP3 only if you use a single device and prefer emails to download and store locally. Most users should choose IMAP.
1. New Outlook for Windows
The redesigned Outlook app included with Windows 11 and newer Microsoft 365 installs.
- Open Outlook and click Add Account (or go to File → Add Account if you already have an account set up).
- Enter your full email address:
[email protected], then click Continue. - If Outlook doesn’t detect the settings automatically, choose Advanced options and select Let me set up my account manually, then click Continue.
- Select IMAP as the account type.
- Fill in the incoming server details:

- Enter your password when prompted, then click Sign In / Connect.
- Once Outlook confirms the connection, click Done.
2. Classic Outlook (2016, 2019, 2021, Microsoft 365)
- Open Outlook and go to File → Add Account.
- Enter your email address, then click Advanced options and tick Let me set up my account manually before clicking Connect.
- Select IMAP from the account type screen.
- On the incoming mail settings screen, enter:

- On the outgoing mail settings screen, enter:

- Click Next, enter your password, then click Connect.
- Click Done to finish. Outlook will send a test email to confirm everything works.
3. Outlook for Mac
- Open Outlook and go to Tools → Accounts (or Outlook menu → Settings → Accounts).
- Click the + icon and select New Account.
- Type in your email address and click Continue.
- When prompted for account type, choose IMAP.
- Enter the incoming server details:

- Enter the outgoing server details:
- Outgoing Server:

- Outgoing Server:
- Enter your password and click Add Account.
- Click Done once the account has been verified.
4. Outlook Mobile (Android & iOS)
- Open the Outlook app and tap your profile icon (or the menu) in the top left, then Add Account → Add Email Account.
- Type your full email address and tap Continue.
- If Outlook asks you to choose a provider, scroll down and select IMAP (or Other if IMAP isn’t listed directly).
- Enter your password when prompted.
- If it asks for manual settings, enter:

mail.yourdomain.com.my, port993, SSL/TLS on - Outgoing (SMTP) server:
mail.yourdomain.com.my, port465, SSL/TLS on - Username: your full email address
- Incoming (IMAP) server:
- Tap Sign In to finish setup.
No Outlook? Use Webmail Instead
If you don’t want to install anything, you can access your inbox directly from a browser at:
yourdomain.com.my/webmail
Log in with your full email address and password — no server settings required.
Troubleshooting Tips
- “Cannot connect to server” — double-check the server address is typed exactly as
mail.yourdomain.com.my, with no typos or extra spaces. - Authentication keeps failing — confirm you’re using your full email address as the username, not just the part before the @.
- Emails not sending — make sure the SMTP port is set to
465with SSL/TLS encryption enabled, not port 587 or “None.” - Still stuck? — try logging into yourdomain.com.my/webmail first to confirm your email and password are correct, then retry the Outlook setup.
